Minutes Board
of Directors Meeting January 17, 2012
- Call to order:
– the meeting was called to order by the President at the Nguyen residence,
at 7:30 PM
- In attendance:
Al Wills, Bruce Somers, Bev Somers, Tracy Nguen, Larry Gagnon, ,
James Collett and Mary Wills.
Absent: Helena Myllyniemi
and George Trattner
- Chairman’s opening remarks:
Al welcomed all attendees,
and thanked them for braving the miserable weather to attend. Our lessons
continue to be very popular, George is teaching 2 additional classes today to
try and get through the waiting list at Saanich Recreation.
- Correspondence:
- Insurance certificate received from Archery Canada, has been
forwarded to Saanich Recreation.
- Still a lot of inquiries for lessons, timings and for instruction
for those who cannot attend the lessons, which should provide a good
opportunity once we can use the outdoor facility again.
- Approval of Minutes of the Previous
Meeting:

Tracy, that the minutes of the previous meetings (November 29th) be
adopted as posted- Carried.
- Reports
- Round the table:.
- Membership (Larry) 53 members now, which is members for 2012,
thinks there are about 12 who have not renewed, will send out a renewal
notice soon.
- VP (Bruce) The new gate has arrived at a cost of $500 a beautiful
stainless steel structure that will work very well. It is ready to go, he
will coordinate the installation.
- Has begun getting the material together to put a shelter roof over
the 2 containers to allow for outdoor storage between them.
- Has made support gussets (triangles) to repair all the butts
- Toilets, will bring them out to the compound soon, one will always
be locked, they will both be secured to the containers. Another lock is
required.
- Tournaments (Tracy) – Have hosted 2 tournaments in Nov/Dec well
attended. The MICA shoot was held this past Sunday, successful 6
participants, made $70.
- Suggests more practice with the timer
- Has suggestions for outdoor shoot under new business.
- James – Has a good feeling for the timing of shoots, wants to
ensure we have some resources for teaching scoring etc – Al will put
something on the website.
- Discussion on encouraging all shooters to score more often, even
if it is just for their own records.
- Shirts/Pins/Hats/Towels etc, James asked about the availability
and volunteered to look over the stock we have and bring them out for
sale at shooting times.
- Social (Bev) – no report – no BBQs in the winter
- Treasurer (Helena) (verbal) – positive bank balance.
- Equipment (George) – (written) Lessons – started 2 new sets of
lessons in addition to regularly scheduled. Saanich is going to provide a
light for inside the container, Adam and George are going to look at
shelving and storage in our container. Both Helena and George have completed
their Criminal record checks. Need to come up with a compensation package as
the club will be receiving all revenue now.
- Secretary (Mary) – No report – enjoying judging the tournaments.
- President (Al) – BC assessment received, should be deferred under
View Royal’s program.
- Work on the compound is complete, not sure that the gate is
properly installed yet, they have been back numerous times.

Training Courses,
there has also been some interest from Campbell River, Al will continue to check
into availability.

Payment of lessons,
as the club now receives all the revenue from lessons, we will have to reimburse
the instructions – discussion ensued, however without George or Helena in
attendance a solution was not forthcoming.

Toilet pumping
this will have to be coordinated so that the gate/compound can be opened,
perhaps the combinations can be given to the contractor – Bruce will look into
it.
- Disbursements:
As Helena was not there, Al advised anyone
needing claims settled to contact Helena directly.
