Annual General Meeting Report Package

President’s Report
Welcome to the Annual General Meeting of the Victoria Bowmen Association. This
meeting is held to provide information to members of this society on the
activities of the past year.
Because this is an Annual General Meeting, business is not conducted without 30
days notice. There have been no notices received within those 30 days, so this
meeting is purely informational.
Agendas have been distributed and you are welcome to speak on any issue when it
comes up or question any director when his or her report is tabled. You also
have an opportunity to address the meeting during good and welfare at the end of
the meeting.
I would like to take this opportunity to state my appreciation to all the
Directors and Club members. We all see the work that has taken place during the
last year making changes to the Butts, shooting areas and 3D field course
(animals). I know a lot goes on behind the scenes that just happens without fan
fair and I would like to thank you for your support and help. We (Victoria
Bowmen) have promoted Archery to the fullest, bringing in new members to the
Archery family and teaching Old and Young the finer points of shooting a Bow.
Thank you all for you're on going support. As the President it has been my
pleasure to be a part of this great club that address all aspects of Archery.
President
R. Greg Birtwistle
September 2008
SECRETARY REPORT
For 2007/08 all meetings minutes were taken and placed on the club’s website,
then distributed for the next meeting. Notices of meetings were distributed a
week before each Board meeting.
All correspondence was completed and our Societies Act reports completed, this
year I also completed the application for the government grant, our application
was successful with a $5000.00 grant. We will not be able to access this grant
next year unless we do something with our indoor archery building fund.
While I may not be doing the secretarial duties next year, it has been a
pleasure, I will continue to work on the website and produce the monthly
newsletters as required.
Respectfully submitted,
Al Wills
Tournament Director Report
We have also hosted 11 FITA Star, 4 Canadian 900 rounds and 2 indoor FITA I.
Thank you to all the Judges that made our tournaments possible.
Attendance was low this year.
We had to cancel the April tournament as it snowed and also a tournament
in September as there was not judges available.
We also host the Canada Cup tournament that was attended by archers from across
DND LIAISON REPORT
The Club has again been active this year. All events involving non-member groups
require gate notification. The commissionaires like to know when there will be
more member attendance than usual for events or meetings such as this. We are at
the end of another outdoor season for a good portion of the club but the gate
personnel need to be kept informed of any requirements you might have involving
the property.

2007-08 Annual Report – Equipment Director
The undertaking started last year of providing an ab-initio instructional program for adults, has been successfully continued this year. In addition, responding to requests from local secondary schools, the same six-week course has been made available to several groups of high school students. Since the fall of 2007, two indoor and four outdoor introductory courses have been conducted, which has not only bolstered the club’s finances but has as well garnered a number of new members.
All archery tackle, bows; arrows; etc., used in the instructional program, have been maintained in good order, requiring no significant financial outlay this year.
The process of refurbishing and replacing the out-door target butts has continued. The storm-damaged butt structure on the upper field has been removed and replaced with semi-portable new targets. Most of the target butts on the main FITA field have also been refurbished or replaced, leaving but a few more to receive required maintenance.
To date, nine new butts have been constructed and installed. As well, fifteen replacement foam centers have been purchased from American Whitetail in order to revitalize some of the long-suffering foam butts used in our indoor venue.
I have continued to be very busy this past year, but do not at all feel overworked when I measure my involvement and accomplishment against that of others, who spend more time and far more energy than I. in making this club run as smoothly as it does. We can all take satisfaction in the many positive accomplishments of the involved club members.

Victoria Bowmen Junior Report, 2007 – 2008
In the past year Allison and I have organized four JOP fun shoots and published
eight JOP Newsletters. JOP numbers
have varied through the year, but in general there has been less turn out than
previous years. However, the
beginner’s lessons seem to be bringing in more JOP, including some serious ones.
With minor changes such as we have considered, the coming JOP year looks
more optimistic.
Future plans are to consider a JOP
3D group, tournament training, introduction to various shooting styles, bringing
JOP into the club’s social functions, and more of the same.
As this coming year I will be focusing on completing high school, the
time that I am able to commit to JOP may be diminished, but, if I remain in
position as I am willing, I should still be capable of filling the requirements
of the position at the very least.
Thanks for a great year!
Bradley Clements
BOWHUNTING DIRECTOR
This was a fun shooting year. Here
are the significant events over the past year:
1.
First some people for special recognition:
a.
Mike Hughes has to be credited for the outstanding 3D Course we have.
He puts an enormous effort in to keep it up.
He moves the targets around and sets up some really realistic hunting
shots which are fantastic making each week a surprise.
Occasionally he gets diabolical and puts thing in more challenging places
that entice my arrows into hard stuff like trees and rocks (I suppose I should
learn to not reach for that fourth arrow on those shots).
Thank you Mike for your hard work.
Thank you to those who have helped out.
b.
Jim Birtwistle is responsible for the mess behind our storage shed.
He has single headedly repaired some of the 3D targets, and is currently
working on the moose and caribou.
Grinding foam and applying carpet glue with your hands is a messy business, but
he some how has kept himself from getting stuck to what he is working on.
Thanks Jim, your work is appreciated and the laying down deer by the
fence line is my favourite shot.
c.
Congratulations to Bernie Van Gylswyk on his sponsorship from Alpine Archery.
2.
The shoots: A special thanks for
those who jumped in and helped, especially Yolanda and her daughter for taking
over the cooking (chocolate covered strawberries….).
a.
2 Mar 3D shoot.
i.
This was an exceptionally well attended shoot, better than the last year’s
shoots and was a lot of fun. The
team that set up the course, prepared the food and took care of all the details,
from toilet paper to prizes were fantastic.
A challenging course with a great shot from the bluff top over the main
field. We had over 50 shooters with
many youngsters and families. The
“rabbits on the rotisserie, a shoot staple” was once again a real hit with the
kids (Big kids too).
ii.
This shoot brought in a few cents less than $1,200.
I decided to not purchase any replacement 3D targets at this time as I
wanted to see how the next shoot went.
b.
4 May 3D shoot.
i.
This was my favourite layout for a 3D to date, it was just a plain fun course to
shoot with lots of challenging shots, perfect weather and record attendance.
More families and kids at this one.
The “rabbits on the rotisserie” was again fun and the long shot was a hit
again.
ii.
This shoot brought in a few cents over $1,232 which was fantastic.
3.
Shoot income
a.
Income from the shoots went to general revenue with a commitment to purchase
some replacement 3D targets.
b.
I decided to hold off on the new 3D targets as the tax bill was looming in the
near future. I would rather make do with what we have than see the membership
increase.
c.
With the grant coming in and the taxes paid, I am in the pricing process of
purchasing some more 3D targets.
4.
Other events: Lots of 3D shoots
were attended by our club members, All were good events and a load of fun. 2 of
the big ones for me were:
a.
Traditional Bow Hunters of BC (TBBC) shoot in Karomeos.
This was a 3 day shoot that was well attended by our club.
It was hot, with a long challenging course that we shot multiple times.
It came complete with a rising river and a rattlesnake.
It was my first time to this shoot and it was excellent.
Bob Walzack and Greg Birtwistle both donated beautiful longbows as prizes
to support the TBBC.
b.
5.
Next Year:
a.
We will have 2 shoots during the early spring, dates to be promulgated once the
island sorts out its shoot schedule.
b.
We may reverse the rotation on the 3D trail for variety.
c.
Mike Hughes has offered to be co-director with me for the 3D.
This will give him the official capacity to do the range, while I do the
shoots and attend the meetings.
6.
If you have good ideas come on out and make it happen.
Your input and help will be welcome.
7.
I am willing to stay on in the current capacity if no one else wants a turn.
It is most likely that I will be going back to sea in the spring. If so,
my ability to fulfil the office may be limited.
8.
It has been fun shooting with you all.

Bowhunting Director
TREASURER'S REPORT
We have survived another year. I must admit that at times we were getting very
low with the funds available for everyday business of this club. But, thanks to
the efforts of Al Wills we received another grant from the government. Also the
club's fundraising efforts have been successful with 3-D and FITA tournaments,
adult lessons and the ongoing after school activity groups at Pearkes Arena and
Commonwealth Place have kept us going.
As for the future, we have to find more ways to create revenue to cover the ever
increasing cost of rent, services, equipment etc.
It has been an interesting year and I will let my name stand for the treasurer's
job for another year.
