Minutes Board of Directors Meeting June 18, 2007

 1. CALL TO ORDER

Meeting was called to order at 7:15 PM by the President Greg Birtwistle

2. CHAIRMAN’S OPENING REMARKS

President Greg thanked all for coming and remarked that Doug could not make it due to his duties on flood control in Chilliwack.

 3. CORRESPONDENCE

-          Tax notice - $9862.00

-          Follow-up email from Eric Walker concerning Nanaimo Senior Games borrowing some butts from us.

-          Email from Kimberly club (host of 2008 BC Winter Games) re borrowing equipment

 4. APPROVAL OF THE MINUTES OF THE PREVIOUS MEETING

5. REPORTS:

·         a. DND - Bruce - Very quiet - reminding everyone to ensure all areas are secured when you have opened them (or see them open).

·         b. Tournaments - Tracy - Had to cancel Saturday FITA, good turnout on Sunday - Visitors from Mexico shooting.

- Queen Victoria Shoot not well attended 7 or 8 attended.

- No dates as yet for FCA 900 round that was cancelled.

·         c. - Equipment - George - New Trimmer bought - some initial problems, should be back soon.

o   Courses are going strong, next on the 19th (waiting list)

·         d. VP - Bruce - No report.

·         JOP/Social - Mary - Helena and George filled in the last 2 weeks - JOP reps are planning a fun shoot in July.

·         g. Membership - Lynn - (report sent in) 112 total members. Monthly fee discussed, but we could not see any way to implement it.

·         h. Treasurer - Helena - Esquimalt High came in last month, many groups coming in in the next months, (St Michaels School, City of Victoria, Fairfield Centre, JDF. T Bills did well last month, with the tax bill now received we will barely be in the black.

·         h. Secretary - Al - newsletter sent out last month, minutes distributed with meeting notice.

·         i. President - Greg - No report

 

6. BUSINESS ARISING FROM THE MINUTES

 

·         Equipment Rentals  - Discussion on groups wanting to borrow equipment, it is felt that there should be a fee to cover maintenance of the equipment and users must return it as it was borrowed and to where it was when they borrowed it. We should support groups that belong to BCAA and FCA like us, other groups should pay a reasonable fee.

·         Discussion on the new club pins, no designs were submitted, there does not appear to be much interest in this initiative.

·         Info Brochure, Al showed the updated brochure as directed from the last meeting. There were a few changes, Bruce will coordinate formatting and George will make the corrections to the wording.

           

7. NEW BUSINESS

 

            WORK PARTY THURSDAY JULY 5th 2007 6:00 P.M.

 

·         Butts, Discussion on the new butt design, George will design a better clamping system and we will have a work party to build sufficient new butts for the 900 field. Bruce will order Donaconna (100 sheets).

·         MICA and FCA Indoor Dates  - Feb 2nd/Mar 1, 2008.

·         1997 World Championships Reunion - Something to consider as it was 10 years ago in August, the event was a milestone in the club's history and it should be commemorated, however, it will be a busy summer and there not many ideas were forth coming. We will consider it for now, probably a BBQ in conjunction with the October 13th FITA.

·         Keys - Al reported that the new locks need to be checked by all to ensure the keys work, the new locks will not be installed until we have verified the keys.

·         Crossbows - We again reiterated that crossbows are not allowed on our property for safety and insurance reasons. Crossbows can go to the Malahat range.

·         Metal Detector - Not sure it is working - George will check it out.

·         Flea Market - George will organize an Archery Flea Market in conjunction with the FITA in July (July 14), set up and start at 0900.

 

8. DISBURSEMENTS FOR APPROVAL

·         Bruce for Donaconna approx $1000.00.

·         Al for Keys, Lawnmower Gas, Stationery.
