Minutes Board of Directors Meeting February 12, 2007

 

1. CALL TO ORDER

Meeting was called to order at 7:36 PM by the President Greg Birtwistle

2. CHAIRMAN’S OPENING REMARKS

President Greg thanked all for coming out.

 

3. CORRESPONDENCE

- Juan de Fuca Recreation deletion of March 31st shooting

- Letter from Direct Access Grant re our successful application
- Membership confirmation package from BCAA

 

4. APPROVAL OF THE MINUTES OF THE PREVIOUS MEETING

5. REPORTS:

o       a. Treasurer - Helena - Bank balance finally looking better, with the grant, memberships coming in, 3D and MICA Shoot, Pearkes and Commonwealth Pool.

§         Helena, assisted by George did a demo for Bayside Middle School in Brentwood Bay

§         Income at this meeting:

            - Cheque from Bow Shop in Ontario for weights

            - $35.00 from the pop machine

            - $871 in from 3D shoot after expenses

            - $385 in from MICA shoot

 

o       b. Bowhunting/3D - Doug reported that the Feb 11 shoot was a great success, 51 shooters (46 adults), he was most appreciative of all the help, including the cooks (Greg's co-workers). The shoot brought in more than $800.00.

§         Some new animals need to be purchased, discussion ensued M Bruce / 2nd Mary 'That up to $450 be approved for new animals' - Carried

§         Further discussion on the 900 butts and whether a new roof was required - The use of some of the metal shelters was suggested - Doug will investigate and report back

§         Doug will send out some thank you letters

§         Next 3D will be March 4th.

o       b. Vice President  - Bruce - He helped Helena move the equipment to Pearkes arena and has installed a bow rack on the wall of the indoor container (most appreciated by all!)

o       c. JOP - Mary - JOP Indoor is in Cowichan March 11 wants as many to participate as possible. No Shooting March 31. Will announce outdoor shooting dates later.

o       c. Equipment - George - Current lesson session going well, 2 weeks to go, brought in $480, this is the last session before outdoors (sometime in March).

o       d. Membership - Lynn - 62 members so far, mostly renewals - Waivers are required from all even renewals. Webmaster will add that to the website where the form is.

o       e. Juniors (Brad & Josh) - Brad will be away Feb - Mar 24 and Josh will be away until 15 March. Josh reported Commonwealth is going very well.

o       Tournaments - Tracy - reported that there were 27 shooters at the MICA (Multi Sites Indoor Championship of the Americas). Next shoot March 3 (Canadian Indoor Championships) $18.00 entry fee; she would appreciate as many as possible coming early (0900) to assist with set up. Coaching and Judging courses under new business.

 

6. BUSINESS ARISING FROM THE MINUTES

            The group read through and provided feedback on the policies.

           

7. NEW BUSINESS

            a. - Judging course will be 31 March - 1 April, probably at the C&POs mess in Naden, $60.00 at least 6 pers are required.

            b. - The Coaching course will be April 14/15 also probably at the C&POs mess, $90 including manuals. 

            c. - Discussion was held in camera on a membership issue, the Secretary will draft a letter for the President.
