Minutes Board of Directors Meeting October 23, 2006

 1. CALL TO ORDER

Meeting was called to order at 7 PM by the Vice President Bruce Somers

2. CHAIRMAN’S OPENING REMARKS

Bruce welcomed all explaining Greg could not make it.

3. CORRESPONDENCE

- Letter from West Shore Parks & Recreation inviting us to a Parks meeting

- Email from Jim McQuade concerning indoor archery answered by Mary

- Letter from Future Steel Buildings to Bruce

4. APPROVAL OF THE MINUTES OF THE PREVIOUS MEETING M Mary / 2nd Doug /  Carried

5. REPORTS:

·        a. Treasurer - Helena - We are still operating in the red.

o       has reworked our reports to better show expenditures

o       working at the Commonwealth Pool 20 in each of 2 groups - 2 more sets starting in 2 weeks. Pearks Recreation starts in Jan.

·        b. Membership (Lynne) - 7 new members for 2007

·        c. Equipment (Lessons) - George - 20 registered for lessons so far about $1200 In revenue - expenses will be high (rent and salary)

o       Arm guards and other equipment were purchased

·        d. Mary - JOP - 3 JOP sessions so far this year

o       Very low turn out, about 6 per session - 55 registered (from last year).

·        e. Tournament - Tracy:  - September FITA only 9 participants

o       October FITA Much better - 25 participants - 13 attended 900 round.

·        Vice President - Bruce Somers - Has received info from a company that sells shelters.

·        JOP - Brad/Allison - Halloween fun shoot scheduled for Nov 4

o       Have started a newsletter

6. BUSINESS ARISING FROM THE MINUTES

            Al reported that we have been successful in our submission to be reinstated as a society - all reports have now been forwarded to the registrar and copies to the grants people where our submission denial is being appealed.

            Discussion was held concerning PO Boxes/Addresses to be sure this does not happen again - Al will work on a policy manual.

7. NEW BUSINESS

            a. - Shooting nights - Little or no participation at weekly shooting nights - decision to cancel Thursday nights and to increase the time for Thursday lessons by 30 minutes.

            b. - New School - By this time next year, John Stubbs will be in a new building, we need to think about a committee to work on what we will require at the new facility and if we can assist the school administration.

            c. - Honorary Members  - Yearly memberships are granted to those who support the club, but do not shoot or use club resources - Honorary Memberships were conferred on Lynne Brochu and Janice Roberts M Mary/2nd Tracy Carried.

            d. - George proposed to move the next set of lessons to twice a week to better fit into the remainder of the year (Nov 7,14, 16, 28 & 30)

            e. - Al asked all Board Members to review the club bylaws as a rewrite is long overdue, this will be done later in the next year.

8. DISBURSEMENTS FOR APPROVAL

            George for equipment - Al for Societies act work. M Helena/2nd Tracy/ Carried
