  1. Meeting called to order at 1915 hrs.  
  2. President's opening remarks:

    2.1.   Greg Birtwistle’s opening remarks were of appreciation to club members for their work and support to the club and the grounds with a special recognition to Cliff Allan for his grounds keeping and JOP work.

  3. Minutes of the April 26, 2004, meeting were not available to the board.
  4. Business arising from the minutes:

    4.1.  None at this time.

  5. Correspondence:

    5.1.  Al Wills submitted a BC Gaming pamphlet for Greg Durwood

    5.2.  Al Wills submitted the latest draft agreement from the Westshore Football Association. Information required includes tournament rooms, field use, instructional programs, and number of kids (ideally). A signed agreement is to be given to Lorrie Sommerville to obtain membership signatures.

    5.3.  Al Wills submitted correspondence regarding the denial of the grant submission. Reasons for denial include the clubs excessive funds. Al will give letter to Greg Durwood; complete report will be given at Annual General Meeting

  6. Reports:

    6.1. President: No Report

    6.2. Vice President: Bruce Somers noted the increase in adult new members and proposed the mentoring of new members for instructional assistance; a fall program designed for adult members was suggested.
    Cliff Allan added that he has many new adult and youth members shooting on Tuesday and Thursday evenings.

    6.3. Past President: given in correspondence

    6.4. Secretary: No Report

    6.5. Membership: Lorrie reported that the membership is presently 172 members in total.

    6.6. Tournament: There will be two FITA shoots on August 28th and 29th and a 900 Round on August 29th as well.
    Tracy asked council for permission to register the tournament. Granted.

    6.7. JOP: The JOP Outdoor Championships hosted 59 kids (youth participants:) The tournament fees were $835 less expenses bringing in $790.00. Food sales (hotdogs, hamburgers, chips, candy, donuts, candy, water, coffee and pop) were $690.75 less expenses left $261.93 raised. Sophie ran a 50-50 draw that brought in an additional $117.00.
    Club JOP participants in the BC Games had the following results:
     — Gold medal winners were Bradley Campbell (double) and Vanessa Williams (double)
     — Silver medalist were Vicki Allen (single) and Alan Orr (double)

    6.8. Treasurer: No Report

    6.9. Field: No Report

    6.10. Junior Rep: No Report

    6.11. PR: No Report

    6.12. 3-D/Bowhunting: Bruce Reed reported that the 3-D tournament on July 11th had 28 participants. There were 20 animals in the morning and 20 animals in the afternoon. There was on a lunch and the field tournament contestants joined in for chilli, hotdogs and water. We have an agreement for replacement animal after each shoot. Bruce is still pursuing midsections and will request funds when a local source is found.
    There was a special presentation for Randy Roberts from Hub Archery, Checkmate and TBBC for his dedication and perseverance in promoting and participating in the sport.
    In addition, there was a work party several weeks ago and 11 animals were repaired to a usable state.
    Bruce submitted a phone bill for $214.08
    There is currently no more 3-D shoots scheduled, and the hard luck shoot has been cancelled for later in the year.
    Discussion arose regarding non-insured shooters (shooters from other clubs) shooting in tournaments.

    6.13. Trophy: No Report

    6.14. Equipment: No Report

    6.15. Social: No Report

    6.16. DND:  John Stubbs School is to be replaced, however the gym will still be in operation and the club will still have access to it. The electric timer has been repaired.

  7. Ad.hoc:   None at this time.

    New Business

    8.1.  The 3-D Nationals will be held in Price George; three members will be competing. Participants to the National 3-D Championship Tournament are: Greg Birtwistle, Kelly McKewan and Bernie Van Gylswyk.

    8.2.   Six club members will be competing in the National Field Target Tournament in Toronto. Participants to the National Field and Target Championship are: Angela Cramer, Tracy Klatt, Jack Wooder, Jane Wooder, Greg Durwood and Lynne Durwood.

    Motion by Lorrie that the Victoria Bowmen provide financial supplement in the amount of $100.00 for each participant from the club. Seconded by Bruce Somers. Carried.

    8.3.  Bruce Somers noted that we need to send out a formal announcement of the Annual General Meeting. Vanessa will send out announcements. Al Wills added that we need to think about what else needs to be added for the AGM; Bruce Somers is the nominating committee.

    8.4.  The Board unanimously approved life membership award to Randall Roberts.

  8. Disbursements:
     

    9.1.  Motion by Bruce Somers to payout disbursements to participants in Canadian Championship Tournament; funds to be paid out of 3-D tournament funds submitted.
    Seconded by Lorrie. Carried.

    9.2.  Payment to Bruce Reed for preauthorised phone expenses.

    9.3.  Payment to Cliff Allan for honorarium.
