Present :
2.1. Greg Birtwistle’s opening remarks were of appreciation to club members for their work and support to the club and the grounds with a special recognition to Cliff Allan for his grounds keeping and JOP work.
Motion by Tracy to accept the minutes of July 26; Seconded by Lorrie; Carried
5.1. A letter of appreciation from the Durward’s for the generous donation from the Victoria Bowmen Association for the financial support from the Canadian Nationals in Caledon, Ontario.
5.2. Tracy presented up-to-date U.S. Archery periodicals.
5.3. Al Wills submitted a letter from the Base Commander regarding the lease of the Victoria Bowmen Association outdoor facilities. We currently have a balance owing of $2256.00, for period ending June 30th, 2004. This discrepancy reflects requirements that DND needed to heighten security levels from September 11, 2001 and for the denial of service following that period. These requirements are in accordance under the current lease agreement. The current lease will expire the 31st of December, 2006.

6.5. Membership: Lorrie reported that the membership is now at 187 members, with newest members paying for the year 2005 membership.
6.6. Tournament: Tracy reported that a profit of $883.43 was made from the last two tournaments. Merchandise sales are at $255.00 to date, and she hopes to have club support lunch.
6.7. JOP: With kids back in school, we should have more
shooting Saturday. All kids will be contacted by phoned for a fun shoot
for September 11th and a meeting for indoors. We could have more kids and
a full gym and may need a forth shooting time. I need help with coaching
the JOP!
I would like to put a bid in for the 2005 JOP Outdoor Tournament if it is
approved by the board. Scott, Vanessa and myself, did an interview with
Shaw Cable and should be on soon. September 20th we are starting
Commonwealth Place if Sophie is not working. If Sophie is not able to
assist, we may have to cancel.
I cut the Fita Field very short in August using the Honda and there is a
pile of grass.
I plan to repair the two butts on the 900 and winterise the FITA butts.

6.11. PR: An email report was submitted to the Board of
Directors from Greg Durward regarding the Victoria Bowmen Association
Gaming Application. A summary of the report is as follows:
The definition of an eligible program; you can only get money for programs
which are offered to the public (the community) for free. Or to be
accurate, you can claim for the expenses to the extent that a program is
free or subsidized.
The fact that we have unreserved funds is a problem. We need to find out
who has authority to reserve funds. Does it require a resolution at an AGM
or can it be done by the Board of Directors or Executive. A copy of that
resolution should be used along with a notation to that effect on the
Clubs financial statements (balance sheet). The funds should be segregated
from the general funds probably.
6.12. 3-D/Bowhunting: Bruce Reed reported that the Island
Outfitters has requested some club members contact information.
Discussion was held by members regarding this request.
Action:
Lorrie to amend form and
drop it off at Island Outfitters.
Bruce further reported that he is still pursuing mid-sections but so far
has not had much luck.
Discussion was held by members regarding the possibility of a poster to
promote the Victoria Bowmen Association and Archery.

8.1. Membership cards for the 2005 season; Al Wills
suggested that new card should be laminated and be worn visibly by all
members while on club grounds and during club events.
8.2. Venting of the containers is required; to be looked into.
8.3.
Discussion by board members regarding who will be staying in council for
the upcoming year.
Al Wills will phone Bruce regarding membership positions.
8.4. Discussion by members regarding indoor shooting; Commonwealth versus Juan de Fuca/John Stubbs School. General consensus of members opposed to have indoor shooting at Commonwealth; shooting at Juan de Fuca/John Stubbs School would promote neighbourhood involvement.
8.5. Cliff Allan proposed the Victoria Bowmen put a bid for the JOP Outdoor Tournament for 2005, adding the need for additional assistance for JOP and new member mentoring should be recognised. Discussion was held by members regarding the actual costs for running the tournament.
Motion by Lorrie that Victoria Bowmen submit bid to host the 2005 JOP Outdoor Championship Tournament (for Southern British Columbia); Seconded by Al; Carried.
8.6. Tracy Klat proposed new signage for the entrance of the Victoria Bowmen club grounds. New signage would list basic club rules and would keep the sliding of green/red flags to indicate ground accessibility.
Action Tracy to present design ideas with wording and cost estimates by next board meeting in October.
8.7. Clubhouse cleaning was discussed by members, identifying the need for a clubhouse vacuum and a clubhouse cleanup rotation.
Action: To be discussed at Annual General Meeting on September 27, 2004.
8.8. Indoor shooting: Sergi has made an offer to do a post JOP level program; Excellence Program Al Wills noted that the progression from JOP to 900 and 3-D shoots is almost non-existent and recognised the possible need for addition level.
8.9. Clubhouse Locks: Greg to obtain new matching locks and keys for all the locks on the clubhouse grounds.
8.10. A discussion of a Club Championship was held by members; event would be a Saturday event. Mary noted that another volunteer for food service would be needed as she would not be available. Al Wills suggested having separate ‘type’ of Club Championships; have 900 and 3-D shoots separately, but together on the same day as a true ‘Club Championship’ tournament day.
9.1. Cliff Allan – lime paint and Bow and Arrow
repair. $ 151.98
9.2. Mary
Wills – float for food for Club Championships
and for Veggie trays for AGM meeting $ 200.00
Mary noted that she would need to know who will be able to do the food
service for the Club Championship Tournament.
Motion by Al Wills to disburse $200.00 to Mary for food float for the AGM meeting and Club Championship Tournament. Seconded by Tracy; Carried.
