Meeting called to order 19:12


1.0 President’s opening remarks.
Ongoing reminder on current meeting format, taking reports only from those present.

2.0 Correspondence:
Follow up on stove and CSA approval for the clubhouse. Colwood building inspector is fine with things as long as fire extinguisher is present in building. Due to previous thefts, Al is looking for a glassed in version at this point in time.

3.0 Approval of Minutes from previous meetings:
· Moved by Lorrie Sommerville, seconded by Mary Wills that the “Minutes provided for the previous (Mar 10th, 2003) BOD meeting be accepted as supplied. Carried

4.0 Acceptance of Agenda for tonight’s meeting bypassed.

Reports:

5.1 President: Continued talks with Victoria Football league, Juan de Fuca Rec and DND regarding use of property for combined sports facility. Politics and technicalities dominate, however discussions are moving forward and are still encouraging. Minimum 6 months before anything can happen. Research into BC Lottery grants and other grants are being investigated to offset investment cost. Brief discussion from Greg B. regarding the clubs use of funds and how that could potentially impact the upkeep/maintenance of outdoor facility.

5.8 Field: Discussions around a renewed “Beautify your Butt” campaign where different club members would take on the responsibility for a field butt and provide it with a theme and ensure that it would be maintained. Bruce Sommers to write up a brief synopsis of the program and pt prepare information sheets to hand out to parents at JOP and also do up a wall poster for club house.
5.9 DNS Representative n/a
5.10 Jr. Representative Presented club with thank you photo/frame of team BC for archery from Canada Winter games for display in clubhouse. Thank you Scott.
5.10 JOP Director: J.O.P. on Saturday April 19th, 2003 there will be an Easter egg shoot for all kids at club. Cost is $5.00 to participate.
Outdoors is going well with between 20-40 kids shooting on a regular basis. JOP is shooting on the FITA field from 9:30AM to 12:00PM on Saturdays. When FITA stars are being shot, the kids will move to the 900 Field (upper field) doing a fun shoot.
For new kids interested in shooting, Cliff is requesting that they show up on Sundays now between 1:00PM and 3:00PM or Tuesdays and Thursdays from 6:00PM until dark.
We had a very successful first ever Zone 6 JOP Indoor championships hosted by Cowichan Bowmen. They had room for 40 participants and 35 showed up to shoot. Cowichan won the club trophy.
I would like to hold a Zone 6 JOP outdoor championship on June 12th, 2003. This is 2 weeks before the JOP Outdoor Provincial Championship on June 22nd in Parksville. Parksville is also doing a flat 3D shoot in May.
900 and FITA Fields:
Started cutting grass at end of March. Both mowers are working well and I have not tried the weed eater yet. It could use a going over (tune up). Also I would like a $40.00 float for fuel and such for the mowers. Additionally, I would like 6 – 2X8 x 10’ long and 6 – 2X6 by 6’ long boards to repair some of the butts on the FITA field.
5.11 Standing Committee N/A
5.12 3D / Bowhunting: Reports some changes to course layout and will (hopefully) be remapping course for record. Also, moved by Keith Pickering and seconded by Mary Wills that a flat of beer be purchased and presented to DND staff for providing service to the club.
5.13 Trophy: Not present

6. Business Arising From the Minutes
Dumpster will be required for club clean up on May 3rd. Bruce Reed to make arrangements.

7.0 New Business:
7.1 Reminder of work party on May 3rd. Mary noted that BBQ was in less than desirable condition for feeding work crews. Action: Lyle to investigate possibility of store returns from family member, if not possible to get a “free” BBQ, to report back prior to end of April with results. May need donors for weekend, or quorum to authorize purchase of new BBQ for club. Also Mary will be looking for volunteers for concession work at QV shoot in May.

7.2 Cliff is wondering about the possibility of a $40 cash float to cover fuel for lawn mowing equipment. Agreed that float would be addresses in disbursements.

Motion by Bruce Reed, seconded Greg Birtwhistle that all supplied disbursements/expenses presented be settled.
Carried.

Cliff Allen $182.54 expenses plus $40.00 cash float for total of $222.54
