Meeting called to order 19:20


1.0 President’s opening remarks.

2.0 Correspondence:
Tracy Klat received copy of US Archer for June
Victoria Public Library confirmed website listing in societies directory in letter to Al Wills.
Al Wills received additional request for expressions of interest for VB to host the 2004 BCAA 3D archery championships. Information passed to Greg Birtwhistle for follow up.

3.0 Approval of Minutes from previous meetings:
Motion by Lorrie Sommerville, seconded by Angela Cramer to accept minutes from last meeting (May 13th, 2003) as provided. Carried.

4.0 Acceptance of Agenda for tonight’s meeting bypassed.

5.2 Vice President: 50 new arrows donated to club from high school students who made them in Bruce's class.

5.5 Treasurer: Financial statements as provided. Reported on current difficulties obtaining merchant account status for VB Club and constant "run around" from our bank. Lyle volunteered to pursue alternate options and report back at next meeting.

5.10 JOP Director: We are almost ready for the JOP outdoor championships in Pitt Meadows. I've booked the bus ($325.00 + GST) and ferry. I would like a $400.00 float for the ferries fee. 11 and under $4.00 each way, Adult $7.25 each way). By next weekend I will know who is going. It should be 20-25 kids + parents.
After the JOP outdoor, I will start getting people ready to shoot the Canadians. - Cliff Allen

5.12 3D / Bowhunting: Report on Queen Victoria weekend shoot:
All those who attended had a great time and we maintained a reputation of putting on excellent shoots. There were previously abandoned parts of the property due to the looming loss for contractor use. Through the efforts of a club member, we will have the use of that "back" part of the property for at least another three years (minimum).
The course was a lot of work, but we have reclaimed those previously abandoned areas and they have become the clubs new bag course complete with clean, well marked trails, bridges and safe shots if the flight path of the markers are used.
In preparation for this event the other pluses are an expanded parking area, drainage of the access road, complete flied course clean up and minor improvements to the nationals field course. The coupling of the 3-D with the Queen Victoria shoot was a success in co-operation of parking and food.

7.0 New Business:

Motion by Cliff Allen, Seconded by Lorrie Sommerville:
That at all 900 rounds shot at the club, JOP archers be permitted to shoot the groups and distances required by BCAA JOP.

It is understood that JOP members who shoot at the JOP distances are not eligible for FCA records.

Motion: Failed

Discussion with tournaments at alternatives to allowing the JOP archers to come and compete at club events and it was agreed that if there are enough JOP archers registered at least one week in advance, arrangements will be made to accommodate the JOP distances.

20 minutes continued discussion on alternatives that would allow JOP archers to compete with FITA and FCA archers at the same time. Also discussion on methods to support the JOP program and encourage learning in a more structured and directed environment. Noted that due to the high volume of new archers, Cliff has too many archers to be able to teach in a focuses manner. Many volunteers from the executive have come forward to come out one night per week and work with small groups showing them scoring, rules etc, to assist both Cliff and the program. Volunteer list being drawn up and organized by Angela Cramer. All interested parties to contact Angela with times that they are available.

Field Archery for JOP and other club members:
Discussion regarding ways to introduce new archers to the different types of archery that the club offers. Introduction to Field archery and 3-D archery discussed. Cliff will be introducing flat field 3D to JOP archers after the regional championships and Lyle, Curtis and Mike Hughes have been discussing field archery introduction courses.

Action: With upcoming nationals, AGM and requirement for more effective communication to club members, Lyle has volunteered to coordinate a club newsletter for June to address many of the issues discussed and to announce the 2003 AGM dates as well. New letter to be mailed by June 20th, 2003.

Weed Eater throttle cable broken. Needs to be fixed. Lyle volunteered to take into shop.

Motion by Lorrie Sommerville, seconded by Angela Cramer that all dispersants list below be settled.
Cliff Allen - $400 float for JOP regional expenses
Cliff Allen - $195.61 for miscellaneous repair expenses and honorarium.
