Victoria Bowmen Board Meeting 18 January, 2002

1.                  Meeting called to order at 7:40 p.m.
2.                  President’s opening remarks.  
3.                  Minutes of the November 28, 2001, meeting were circulated.

Moved by Bruce Reed, seconded by Bruce Somers “that the minutes be adopted as circulated. / Carried

4.                 
Business Arising From the Minutes:

4.1   Further to the email from Bob O’Brien, discussion took place regarding a possible rental price for our butts for use at the Summer Games.

4.2   The gymnasium has been booked for Sunday, March 3, 2002, for the FCA Regional Indoor shoot.

4.3The Christmas Shoot was a success.

4.4              Point shoots (3D) for this year have been cancelled.

4.5              DND has cashed the November rental cheque.

4.6              Al Wills checked the Constitution/Bylaws with respect to Life Members.  Life members are required to pay their own FCA/BCAA memberships.

5         Correspondence: 

5.1              Al Wills has received a couple of emails from members concerned about not being able to access the outdoor range.
 
5.2              Helena Myllyniemi received an email from an archer in the Ukraine wanting to “chat” with archers in Canada.

5.3              We have received our Property Assessment for the property.  Al Wills will appeal the $$ amount. 

5.4              Al received a letter from the Base Commander regarding the status of the outdoor range and the limited access.

 6                    Reports:

6.1    President:

6.2    Vice President:    No report.
6.3    Past President:    No report.
6.4    Secretary:    No report
6.5    Membership:  Last year’s membership totalled 151 members.  To date, we have 22 members registered.

6.6    Tournament:

Tracy Klat advised that we are hosting the FCA Indoor National on March 3, 2002.  Tracy will be posting a sign up sheet of this event at the gym. She is doing this because there will only be one flight with two lines (AB/CD) if needed. We only have the gym 9 to 1. Space is limited.

6.7    Treasurer’s Report:

Helena Myllyniemi provided a financial report to January 16, 2002. 

6.8    JOP Rep:    No report

6.9    JOP Director:
Cliff Allan requested authorization to book the bus and ferry for the JOP Indoors, March 10, 2002.   Cliff would like room for one more butt in the gym, and one more butt for Commonwealth Pool. Cliff is requesting another assistant, possibly Sophie Roberts, to assist at Commonwealth Pool due to the increasing number of attendees.  The next course at the Pool starts January 28 and goes to March 12.  Then April 26 to June 3.

Discussion occurred regarding the feasibility/affordability of providing an assistant for Cliff at the Pool.

6.10    Public Relations:    No report
6.11    3D / Bowhunting:

Greg Birtwistle and Bruce Reed advised that with the inability to access the outdoor range due to the security, they are not able to book or hold shoots.

6.12    Trophy:    No report.
6.13    Social:    Mary Wills advised that the Christmas Turkey Shoot went very well.  We had about 43 people in attendance, and the prizes were well received. We actually made a small profit with this shoot.

6.14    Equipment:    No report.

6.15    DND Representative:    No report.

6.16    Field:    No report.

7.0    New Business:

7.1              Range Access:    Al Wills to send a note to the Base Commander to clarify access requirements.

7.2              Special General Meeting:    The Special General Meeting of Victoria Bowmen to be held Tuesday, January 22nd, 7:00 pm, at John Stubbs Elementary School, for the purpose of requesting approval to raise the membership dues for the year 2002.

7.3              Commonwealth Pool Lessons:    Discussion occurred regarding the 2nd instructor to assist Cliff Allan at Commonwealth Pool, and the current breakdown of revenue received from the Pool.

Moved by Bruce Somers, seconded by Tracy Klat, “that Victoria Bowmen hire an assistant to help the Commonwealth Pool Coach/Coordinator, if class size warrants the requirement for a second instructor.  The Coordinator to receive $15.00, the assistant to receive $8.00.    Carried

Bruce Somers to contact Sophie Roberts to see if she would be interested in the position of assistant on an interim basis.  An advertisement for the position of assistant to be posted.

7.4              Bus/Ferry for JOP Indoors: Approval granted for Cliff Allan to book the bus and ferry. It was requested that the JOP members to some fundraising to assist with the cost of transportation to the JOP Indoors.

7.5    Memberships:    Discussion occurred regarding the possibility of allowing credit for membership or refunds.

BC Summer Games:    Moved by Tracy Klat, seconded by Bruce Reed, “that Victoria Bowmen rent to the BC Summer Games (Bob O’Brien) butts and stands at the rate of $15.00 each set per day, undelivered.    Carried

7.6    Heals Range:    Discussion occurred regarding the possibility of Victoria Bowmen leasing the facilities at Heals Range. Al Wills to speak with DND regarding the possibility.
