1.                  Meeting called to order at 7:36 p.m.

2.                  President’s opening remarks.  

3.                  Minutes of the April 10, 2002 meeting were circulated.

Moved by Bruce Somers, seconded by Helena Myllyniemi “that the minutes be adopted as circulated.”              Carried

4.                  Correspondence

4.1              Tracy Klat received the renewal form for the U.S. Archer. She will send off the list of names of current club members with the renewal form.

4.2              Al Wills received an email regarding from the Base Commissioner regarding Cliff Allan as a Contractor to the Club. Cliff doesn’t qualify as a DND Contractor; he needs to be escorted by DND personal for access to the range.

5.                  Reports:

5.1       President:       No report

5.2       Vice President:           No report.

5.3       Past President:           “So this is what the range looks like.

5.4       Secretary:       No report

5.5       Treasurer:      Helena Myllyniemi provided a financial report to May 15, 2002

5.6       Membership:              Keith Pickering advised that we have 84 members registered for 2002.  He is still working on an updated membership list. He has $351.00 from membership applications to give to the Treasurer.

5.7       Tournament:               Tracy Klat said they had 2 great days this past weekend for the FITA Star. The next FITA Star is June 16, 2002. The Queen Victoria Shoot has a change of date to June 2, 2002. A written report with financial statement is attached.

5.8       Field:               No report

5.9       DND Representative:           Al Wills indicated it is a lot of work to get access for the archers to come on the range. A list of names needs to be at the gate 48 hours prior to admittance. A DND representative needs to escort everyone onto and exiting the range.

5.10     Public Relations:        Greg Durward has taken over the Victoria Bowmen Web site. He is looking for any info to put on the site He reports it is difficult to interest the newspapers in Archery scores, as they want human-interest stories. Tracy said the Times Colonist paper has an Island Score Board (Tues paper?) we might be able to use. Greg will look into this.

5.11     Junior Rep:     No report

5.12     JOP Director: Cliff Allan advised that they are coming in with George Trattnor for Tues. and Sat. JOP shooting and this is working out with only a few problems. The JOP Outdoor (June 23) is pre-registration only as the Commissioners need the list of names 1-week prior. The Commonwealth Pool Lessons will be finished the end of this month. At some point the club will need to order more Donacona for butt repair.

5.13     Social Director:          No report

5.14     Standing Committee: No report.

5.15     3D / Bowhunting:       No report.

5.16     Trophy:           No report.

5.17     Equipment:     No report.

Moved by Tracy Klat, seconded by Keith Pickering, “that the reports be accepted.”                                                                 Carried

6.                  Business Arising From the Minutes

6.1       Secretary Position – Mary Wills will do this temporary. The board members need to solicit some one from the club (a member or a parent) to consider this position for the fall.   

6.2                Bow hunters - There was a discussion on a possible number of bowhunters that might still be undecided about joining the club and yet are still shooting on the range. It was decided that this problem needs to be policed by the bow hunters that are already paid members of the club.

6.3                Refunding membership to JOP family - They paid $180.00, only shot for 3 months. Moved by Tracey Klat, seconded by Keith Pickering to refund $100.00 to the family.                                       Carried.

7.0       New Business:

7.1       Access to the range was discussed in detail. VB members must come in with DND personnel, their name should be on either the VB membership list or on the list that is sent to the Commissionaires 48 hours in advance to event. Al Wills advised that he has spoken with the Commissionaire in Charge.  If the escorting member leaves a cell phone number with the on-duty Commissioner, they will call in to you if someone arrives to come in to the range, and the member can then go out to get the person(s), although this is not their job. Corporal Gapman is doing his best to look after the club members.  

Al advised again that it would be helpful to have a list of all military members of the Club.  It would also be helpful to get some DND parents involved with JOP.

7.2       Lawncutting by Cliff Allan started in April.

7.3       Shooting Schedule – Al Wills and George Trattner are the DND personnel for the target archers access to the range, meeting at Tim Horton’s Wed. at 6:00 PM and Sat. at 9:30 AM. The Bow hunters/3D archers are meeting Wed. at 4:30 PM and Sat. at 7:30 AM. The DND personal are Bruce Reed, Greg Birtwhistle and Keith Pickering for those times. Greg Durward will put this information onto the VB Website.

7.4       The Bow hunters/3D shooters wish to buy 12 target sacs for the range. They will get the costs and submit to the board.

7.5              Archery Lessons – Sat mornings only so far. Cliff Allan needs the list of names 3 days prior for access.

7.6              Al Wills stated again that the white plastic chairs are not to be used as targets

7.7              #15 Butt is missing since early Jan/02. Greg Durward will put a notice on the website re this.

7.8              VB Website – Greg Durward will post any information that is submitted to him, i.e.: tournament results, both target and 3D etc. There have been 4500 hits on the website since Jan/02. 

8.0              Disbursements:
