Victoria Bowmen Executive Meeting

  • 1. Meeting called to order at 7:15 p.m.

    2. President's opening remarks.

    3. Minutes of the July 12, 2000, meeting were circulated.

    Moved by Bruce Somers, Seconded by Tracy Klat, "that the minutes be adopted as circulated." Carried

  • 4. Business Arising From the Minutes:
  • 4.1 Bruce Somers provided an update regarding the old lawnmower. There have been no further offers to purchase the lawnmower (on consignment at LB Woodchoppers). Bruce will pick up the lawnmower and return it to the container. An ad to be placed in the newsletter "for sale" - all offers entertained.

    4.2 Bruce Somers advised that some more thought has been given to ventilating the containers. Discussion occurred regarding possible solutions. Vesa Myllyniemi and the 3D members will arrange for the ventilation.

    4.3 Bruce Reed and Greg Birtwistle advise that the 3D/Bowhunters are working on building some new animals. Have begun cleaning out the moulds, but have not started to pour as yet.

    4.4 Discussion occurred regarding the need for more rope to tie down the tent. Tracy Klat requested to purchase the extra rope required.

    5. Correspondence:

    5.1 Tracy Klat received an email from an archery team in Uzbekistan requesting information on the FITA in September. Tracy forwarded the email to Lorrie, who in turn requested Vesa and Helena look into the request. Helena emailed Uzbekistan with information on the FITA, and requested to know if the team required us to provide monetary support, accommodation, etc. The team decided not to come to Victoria after hearing that they would need to take a ferry from Vancouver. Last we heard, they were going to try to attend the FITA in Maple Ridge.

    5.2 Tracy Klat advised that Jim Wiebe sent confirmation regarding the Level 2 Judging Clinic.

    5.3 Helena Myllyniemi received a letter from Al & Mary Wills regarding an NSF cheque. Bruce Somers to look into the matter.

    6. Reports:

    6.1 President: Vesa Myllyniemi advised that we do have the Drill Hall at Naden as an indoor facility. Shooting times: Mondays 7:00 pm to 9:00 pm, and Saturdays 8:00 am to noon. The Drill Hall is cold, so dress warmly. We are again looking for an alternate location.

    6.2 Vice-President: No report.

    6.3 Secretary: No report.

    6.4 Past President: No report

    6.5 Membership: No report

    6.6 Tournament: Tracy Klat advised that the Judges’ Clinic has been arranged for January 5 to 7, 2001. There are 5 people from Victoria Bowmen who have signed up for the clinic. Tracy has requested that a notice be posted on the website and in the BC Archer. We need a place to hold the clinic and also make a decision on the cost. BCAA charges $60/adults and $50/high school credit course. We can rent a room at the Esquimalt Recreation Centre for approximately $120/weekend.

    Fita Star April 28/29
    May 12/13

    August 25/26 or September 15/16

    Total cost is $481.50
    10 Fita Stars @ $40
    2 — 900 Rounds @ $25
    Plus GST $31.50

    Shooting fees need to be raised to accommodate the cost of the tournaments. At the present time, the cost to shoot is $12/one day or $20/both days. Tracy suggest that the costs be raised to $17/one day or $30/both days.

    6.7 Financial Report: Tracy Klat advised that she has paid the basic bills, and is in the process of turning everything over to Helena.

    If any of the Executive is purchasing materials at Beaver Lumber, please ensure that you give the receipt/bills to the Treasurer as the statement does not itemize each purchase.

    Helena Myllyniemi gave a verbal financial report.

    6.8 JOP Representative: Kathleen O'Brien-Gaudet advised that the JOP will be having a Hallowe'en Shoot on October 28. Requested a float to purchase candy and materials.

    6.9 JOP: Cliff Allan advised that JOP Indoors started on October 7th, and we saw 22 kids attend. On the 14th, the numbers dropped to 19 kids. We are really hoping to find a different location for the indoor season, especially as the weather turns colder and there is no heat in the drill hall. Cliff is encouraging the JOP members to submit scores for the mail match. The JOP Indoor Championships is in Abbotsford in March 2001. The JOP Outdoor Championships to be held in Port Coquitlam in June 2001. We are beginning to fundraise to assist with costs.

    6.10 Public Relations / Newsletter: No report

    6.11 3D/Bowhunting: Greg Birtwhistle and Bruce Reed advised that the Hard Luck 3D Shoot will be held October 22, and invite everyone to come out and shoot. Cost is $15.00. Start time 9:00 am.

    6.12 Trophy: No report.

    6.13 Equipment: Vesa Myllyniemi advised that the Indoor nets have been built up. Have purchased 2 plastic garbage cans to store the nets.

    6.14 DND: No report.

    6.15 Social: No report. However, discussion occurred regarding possible social events that could be held, ie Christmas Shoot & Party. Executive made the decision to hold the Christmas Shoot on December 9th and the Christmas Party on December 16th.

    7.0 Old Business:

    7.1 Poles for the netting on the FITA field. Greg Birtwhistle advised that we will have to wait until Spring to raise the poles due to the wet weather and soggy field. Discussion occurred regarding the net and the fact that it cannot stay up all the time. It was felt that milfelt could be suspended as a permanent barrier (suspended from cables). No decision to be made until more logistics can be determined.

    8.0 New Business:

    8.1 Bruce Somers advised that the Club requires a "game plan", ie cost of doing business, honest financial evaluation. The Club must be prepared to raise membership fees and shooting fees, and become tighter with expenditures. We have to take a look at the big picture. Discussion occurred re possible fundraising, budgeting for each area. Bruce requested that we each bring a proposed budget to the next meeting.
