Victoria Bowmen Executive Meeting

December 13, 2000

  1. Meeting called to order at 7:30 p.m.
  2. President’s opening remarks. Welcome to a "warm" meeting.
  3. Minutes of the November 15, 2000, meeting were circulated.
    Moved by Bruce Somers, seconded by Mark Yager, "that the minutes be adopted as circulated." Carried
  4. Business Arising From the Minutes:
    1. Vesa Myllyniemi advised that the Club’s old lawnmower is back in the container. Bruce Somers advised that there has been some interest shown in the mower, however it has not been sold as yet. Anyone knowing of someone looking for a used ride ‘em mower, please advise Bruce or Vesa.
    2. Vesa Myllyniemi advised that the Club has not located another indoor facility. We are still shooting at the Naden Drill Hall, but as the weather turns colder — so does the building. Discussion occurred regarding other possible sites. Nothing suitable at this time. Will keep looking.
    3. Tracy Klat could not attend tonight’s meeting, however the rope needed for extra tie-downs for the tent has been found or purchased.
    4. Board members have deferred the item concerning budget planning until all members are in attendance.
  5. Correspondence:
    1. Vesa Myllyniemi advised that he has received the AGM reports from FCA.
    2. Vesa reported that Tracy Klat had received the invoice from FCA and it has been forwarded to the Treasurer, (Helena).

6.1 President: No report

6.2 Vice President: No report

6.3 Secretary: No report

6.4 Membership: Keith Pickering advised that he has been working on the membership list and is attempting to get it updated and ready for distribution. He has been advised that Island Outfitters will sell our memberships at their store. Keith will look into the details and advise further at the next meeting.

6.5 Tournament: Tracy Klat was unable to attend this meeting, however provided her report for Vesa to present to the Board.

The Judge’s Clinic will be held January 5th to 7th, 2001. So far there are 6 people registered to attend: Janice Roberts, Sophie Roberts, Lorrie Sommerville, Vesa Myllyniemi, Eric Walker, and Randy Jones. The location for the clinic to be announced shortly. Denis Phaunef is looking into the possibility of the Club using a meeting room on the Base.

Tracy received the invoice from FCA for the tournaments and has forwarded it to Helena Myllyniemi.

Tracy needs to know how many people will be shooting the New Year’s Day Shoot. If not enough interest, the shoot will be cancelled. It is just a "fun shoot", with a potluck lunch.

6.6 Treasurer’s Report: Helena Myllyniemi provided a financial report as at December 13, 2000.

6.7 JOP Rep: No report.

6.8 JOP Director: Cliff Allan advised that the JOP may see some members join from the classes at the Commonwealth Pool. The program is doing okay, however the number of kids attending is starting to dwindle due to the lack of heat in the building.

6.9 Public Relations / Newsletter: Mark Yager advised that he has emailed a newsletter to those members who have provided an email address. He did not mail out the newsletter this time, but will attempt to do so with future editions. Mark advised he has not been able to do any "PR" as yet. He would like to speak to someone who knows what PR was done in the past. It was suggested he speak with Ida Brown.

6.10 3D / Bowhunting: Greg Birtwistle advised of the Island Bowhunting Meeting in Nanaimo. The Queen Victoria Shoot will be the Island Points Shoot. Bruce Reed has done a lot of the repairs to targets, and the shed has been "camouflaged".

6.11 Trophy: No report.

6.12 Social: No Report.

6.13 Equipment: No Report.

6.14 DND Representative: Denis Phaunef advised that he was able to book space at the Chief’s & Petty Officer’s Mess for the Judge’s Clinic. He has arranged for an overhead projector. Denis advised that a question has arisen regarding the Club’s use of the drill shed. He will look into this upon his return from annual leave after Christmas.

  1. Old Business:

    7.1 Christmas Shoot / Potluck: Lorrie Sommerville advised that the Christmas Shoot / Potluck Party is a "go". Ida Brown, Janice Roberts, and Lorrie have struck a telephone committee to contact all Club members to advise them of the details of the shoot/party. Vesa Myllyniemi will be purchasing turkeys for a turkey shoot and will organize this part of the evening.

    What : Turkey Shoot / Potluck / Useless Tacky Gift Exchange

    Who : All Club members invited……no age restrictions

    Due to the lack of running water in the clubhouse, it was decided to request that potluck items be along the lines of appetizers, chips, cheezies, finger foods, desserts. This would alleviate the requirement of running water and cooking surfaces. Ida Brown will provide coffee, tea, hot chocolate, hot apple cider. Vesa will unlock the pop machine. Lorrie and Janice will do a clean-out of the Clubhouse. Firewood will be required to ensure our "guests" don’t suffer hypothermia.

    As our JOP members will be in attendance, members are to keep this in mind when selecting their useless tacky gift. Keep it clean. Rule of thought: when selecting your gift to be exchanged…..ask yourself if you would want your son or daughter to be the one who opens it.

  2. New Business:
    1. Denis Phaneuf advised that he may be able to get the Club a CSA approved wood burning stove for the clubhouse. Cost would be $100. Greg Birtwistle will contact the Fire Inspector to ensure this particular stove will conform to the fire regulations. The old buoy fireplace would be placed outside. Further info to be brought to the next meeting.
