Victoria Bowmen Board Meeting

1. Meeting called to order at 7:55 p.m.

2. President's opening remarks.

3. Minutes of the June 7, 2000, meeting were circulated.

Moved by Bruce Somers, Seconded by Al Wills, "that the minutes be adopted as circulated." Carried

4. Business Arising From the Minutes:

4.1 Bruce Somers provided a "potty" report. Tracy Klat has been doing a great job of ensuring that the potty gets pumped out and cleaned and making sure there is enough toilet paper on hand.

4.2 Bruce Somers advised that no word has been received regarding the possible sale of the old lawnmower. It has been cleaned up, looks good. It is at LB Woodchoppers on consignment. LB Woodchoppers gets 10% commission upon the sale. An offer has been received for $375, and we have countered with $425. Greg Birtwistle advised that he may know of someone interested in buying the mower.

5. Correspondence:

5.1 Al Wills advised that a cheque has been received from FCA (from Labatt's) for $300.

5.2 Al Wills received confirmation that the Club's use of the Naden Drill Hall has been extended to 2001.

6. Reports:

6.1 President: Vesa Myllyniemi reinforced the need for everyone to be aware of the wildlife in the area. A concern was raised that as the 3D animals are being moved around the field, and some archers not being aware of the course, that the real animals may be shot. We have been advised of archers coming to full draw and then the deer actually moved. If an animal is shot, we will lose the use of the outdoor range.

6.2 Vice-President: No report.

6.3 Secretary: No report.

6.4 Past President: No report

6.5 Membership: Al Wills advised that the current membership is 119, plus 6 received from Scott today. Still not as many kids registered.

6.6 Tournament: Tracy Klat advised that the FITA that was scheduled for June has been cancelled, and has been rescheduled for August 5 & 6. There is a FITA this weekend.

Tracy advised that the Club needs to recruit more Judges, and will be looking into holding a workshop in the fall.

6.7 Financial Report: Mary Wills provided a written report.

Mary Wills advised that Tracy Klat's name has been added to the signing authority card at the CIBC and that the transfer will take place this month prior to the Wills' move to Ottawa.

6.8 JOP: Alice McCrea advised that the JOP Outdoor was a great success. We have heard nothing but compliments from the various people who attended the shoot. We had 52 shooters and approximately 30 to 35 parents on the field. A big thanks to everyone who helped with the shoot in one way or another. All of your help was greatly appreciated. The fees for the shoot are determined by Mary Ostermeier, so it is unfortunate that we cannot raise the fees without her permission. Victoria Bowmen would like to submit a bid to hold the JOP Outdoor shoot next year.

6.9 Public Relations: No report

6.10 3D/Bowhunting: Greg Birtwistle and Bruce Reed provided the following reports:

    Trophy expenses will be paid by cheque from

    association to Murphy's Awards Plus $153

    Net proceeds from 3D $198

    Bruce Reed advised that the longbow shooters will be hosting a Hard Luck 3D shoot on October 22, 2000. Bruce Reed and Greg Birtwistle have volunteered to help out with the shoot.

    Bruce and Greg are going to meet with the 3D/Bowhunters and determine when "shoots" are to be held. These dates can then be posted and advertised in the newsletter.

    6.11 Trophy: No report.

    6.12 Equipment: Vesa Myllyniemi advised that the new net arrived.

    6.13 DND: Al Wills advised that he had spoken with Monty Holding at Juan de Fuca. They are almost ready to build a practice range and driving range. Juan de Fuca still want to leave us the bottom field, however want to move our range with Juan de Fuca property. Al will be meeting with them again in the next month.

    6.14 JOP Rep: No report.

    6.15 Social: No report.

    6.16 Newsletter: No report.

    6.17 Standing Committee: The BC Summer Games are coming up quickly. Mary Wills advised that the volunteers for the venue are not going to be fed with the athletes, and proposed that the Club supply lunch for the volunteers for the 3 days. Vesa Myllyniemi advised that he had received $50 from the Games Society to help with this. Discussion occurred regarding the possibility of running a concession. The archers/officials will have lunch brought to them.

    7.0 Old Business: No old business to report.

    8.0 New Business:

    8.1 Greg Birtwistle and Bruce Reed advise that they have a number of moulds for pouring 3D animals. They have volunteered to do all the work of pouring the moulds if the Club will pay for the materials. The 3D animals would give 3D shooters the opportunity to shoot animals without using all the good ones.

    Moved by Mary Wills, Seconded by Bruce Somers, "that we give the 3D/Bowhunters $200.00 to build the 3D targets." Carried

    8.2 Greg Birtwistle advised that he has a "locking" double door shed that he would like to move onto the property to store all the good animals. Discussion occurred with the decision being made to put the shed at the end of the parking lot.

    8.3 Vesa Myllyniemi requested the Club's support for those archers going to Nationals. Greg Birtwistle advised that no one from Victoria Bowmen are going to the 3D Nationals. Tracy Klat advised that 7 shooters are going to Nationals (Tracy, Angela, Tristan, Jesse, Greg, Lynn, Sophie).

    Discussion occurred as it was felt that we should not set a precedent by what the Club gave in support in previous years. If money is given, it has to be given equally to all competitors.

    Moved by Bruce Somers, Seconded by Greg Birtwistle, "that monetary support in the amount of $100 be given to each Club member participating at the Nationals." Carried

    Moved by Al Wills, Seconded by Angela Cramer, "that the Club provide $400 to Greg Durward to attend the Championship of the Americas in Columbia."

    Carried

    Further discussion occurred as to the lack of fundraising being done to assist with these types of shoots.

    Tracy Klat requested support for the BC Games team, by purchasing tshirts for Zone 6 competitors and the coach. The cost would be approximately $17 per shirt for 14 archers. The total cost to be $256.50.

    Moved by Angela Cramer, Seconded by Lorrie Sommerville, "that the Club purchase t-shirts for the Zone 6 BC Games participants." Carried

    8.4 Mary Wills advised that the Club had provided Cliff Allan his honorarium of $100 per month for lawn cutting for April and May. She will ensure a cheque is produced for the months of June and July.

    8.5 Bruce Somers wished to discuss who the Club was going to get to do the servicing of the new lawnmower. Discussion occurred, no decision made.

    8.6 Al Wills advised that the containers require venting in order to control the condensation. This will be looked into.

    8.7 Discussion occurred regarding the movement of the butts and the tent on the FITA field. The butts will have to be moved in order to raise the poles, and after that has been done the butts will be put back into "FITA" order. Further discussion occurred regarding the tent and its use. If the controversy continues, the tent will be stored in the container until required - ie for outdoor concession/bbq stand or for shooting in inclement weather. Any further discussion regarding butts and the tent to be directed to Vesa Myllyniemi.
