Victoria Bowmen Executive Meeting

1. Meeting called to order at 7:45 p.m.

2. President's opening remarks.

3. Minutes of the April 4, 2000, meeting were circulated.

Moved by Tracy Klat, Seconded by Angela Cramer, "that the minutes be adopted as circulated." Carried

4. Business Arising From the Minutes:

Nothing to report.

5. Correspondence:

5.1 Tracy Klat advises that registrations for the upcoming 2 tournaments are starting to come in. (Queen Victoria Shoot / Canada Cup).

6. Financial Report:

Financial statement was provided by Mary Wills.

7. Reports:

7.1 President: Thank you to those members who attended the work party.

7.2 Vice-President: No report.

7.3 Secretary: No report

7.4 Past President: No report

7.5 Membership: Al Wills advised that he has received 101 renewals.

7.6 Tournament: Tracy Klat provided the following:

  • BC Games/Queen Victoria Shoot
  • - 10 pre —registered archers

    - Need to move the Butts back into one line, leave 4 ten meters ahead for cubs. Also move Butt #1 beside #18 because the ground is not level at all distances.

    - Ida Brown has volunteered to do the concession, she needs four more helpers. Also needed is one more BBQ and 4 coolers. $300 for concession.

    - Marlee is judging, but need 2 more -- will ask Gary Gallner.

    Canada Cup May27-28

    - 12 Pre-registered archers

    - Need all butts in 1 line

    - Blinds out for Sunday

    - Score cards/ back numbers

    - Leader board?

    Judges

    There are no Judges to judge our Fita Stars. Marlee has volunteered to do half of them.

    - To judge a Fita Star the judge must be a provincial level judge.

    - I have asked Mr. Wiebe for a list of all Judges. I have not received a list

    as yet.

    If our club can not find any judges to volunteer, we will have to cancel some of our FITA Stars.

  •  First one went well, for the exception of cancelling Sunday.

    - It would be greatly appreciated if all club members would help out setting up and putting away the tournament equipment.

    - Putting up their targets without being told.

    7.7 JOP: Alice McRae advises that our JOP numbers have picked up. JOP shooting 4 days per week (Tuesday nights / Thursday nights / Saturday mornings / Sunday mornings). Cliff is encouraging our new JOP members to come out on Sundays as it is not as busy, and he is able to provide more one on one assistance.

    7.8 Public Relations: No report

    7.9 3D/Bowhunting: Greg Birtwhistle advises that they are getting ready for their shoot on May 21st. It is not certain as to how many will attend. The message is out as well as being spread via word of mouth. Greg advised they need to purchase 6 trophies. The 3D/Bowhunters are hoping that the Queen Victoria concession will assist in interaction between the 3D and target archers.

    Bruce Reed advised that they have had to pull in all the 3D animals due to someone shooting broad heads. Discussion occurred regarding the damage to the animals on the course. It was requested that Vesa, as Club President, intervene on behalf of Victoria Bowmen Association and all of our archers. Vesa to speak to the 3D/Bowhunters.

    7.10 Trophy: No report.

    7.11 Equipment: No report..

    7.12 DND: Al Wills advised that a meeting took place between the City of Colwood and DND regarding the golf course proposal. (Parks and Recreation Commission). If Parks & Recreation does wish to utilize the range as the new phase of the golf course, it will occur slowly. It is still unknown if the Club will be displaced or not. Not likely to occur this year, but possibly in 2001 or 2002.

    7.13 JOP Rep: No report.

    7.14 Social: Angela Cramer advised that the Opening Day BBQ was cancelled due to lack of advertisement. After speaking with other members of the Executive, Angela would like to hold a BBQ in conjunction with the Canada Cup. Lorrie has agreed to assist Angela with the phoning of club members. Ida Brown has agreed to organize the food. Discussion occurred regarding how much of a budget can be used, and what it will cost club members. It was decided to charge club members $10 per head to attend the BBQ. The cost to the participants of Canada Cup have already been charged an amount to cover their food.

    7.15 Newsletter: Mark Yager thanked the executive for holding the meeting on a Wednesday night, as he cannot attend meetings on Tuesdays. He hopes to have a newsletter out asap.

    7.16 Standing Committee: Vesa advised that the Standing Committee held a meeting April 9, 2000, to finalize the field layout at Colquitz Junior Secondary. Volunteer forms were handed out to those interested.

    8.0 Old Business:

    8.1 Toilets: Discussion occurred regarding the state of our outhouses. Greg Birtwistle advised that we should not be digging new holes. Further discussion occurred surrounding Brown's Septic and the possibility of purchasing one porta-john, complete with a service contract for $2,000.00. Tracy Klat asked that we set up 2 porta-johns for the tournaments.

    Moved by Bruce Somers, that "The Victoria Bowmen Association purchase one porta-john from Brown's Septic Services, with an arrangement for Brown's to have the service duties, and the Club to have the option to purchase 2nd unit within 12 months." Carried.

    9.0 New Business:

    9.1 Al Wills received a request from a Base sponsored Medieval Club to use the range on Sundays from 9:00 am to noon. They have their own insurance ($2 million US NSA), their own range marshal's, and will give the Club $2.00 per person for the use. Discussion occurred regarding the feasibility and safety concerns regarding this request. It was decided to permit the use of the range.

    9.2 Tracy Klat advised that she would like to volunteer to do the Treasurer's job and that Alice McRae will do the Membership job. (Replacements required as Al and Mary Wills have been posted to Ottawa in August and the Annual General Meeting is not until late September.)

    Moved by Tracy Klat, seconded by Al Wills, "That $300.00 be provided for the Queen Victoria concession (QV / BC Games Tryouts / 3D Shoots)." Carried.
