Victoria Bowmen Executive Meeting
November 17, 1999  

Present: V. Myllyniemi, L. Sommerville, A. Wills, B. Somers, M. Wills, T. Klat, A. Kramer, A. McCrea, T. Nixon, B. Reed, G. Birtwistle, M. Yager

1. Meeting called to order at 7:40 p.m.

2. President's opening remarks.

3. Minutes of the October 19, 1999, meeting were circulated.  Item 9.2 was amended to reflect the bagpiper band have expressed interest in renting the clubhouse facility twice a month to practice.

 Moved by Bruce Somers, Seconded by Tracy Klat, "that the minutes be adopted as amended."              Carried

4. Business Arising From the Minutes:

4.1 Bruce Reed advised that the sign are in place marking the field course.

4.2 Al Wills advised that item 7.8 (Cubbon Lumber signing authority) has not been done as yet.

4.3 Bruce Somers advised that he has not yet received a reply regarding the telephone poles for the FITA field netting.

4.4 Al Wills advised, regarding item 7.12, a small contingent attended at the Bay Street Armories to view the facility.  The facility is not suitable due to the large size and the building is extremely busy.

4.5 Alice McCrea contacted the spokesperson for the bagpipe band.  The band might be able to bring a proposal to the December meeting.

4.6 With reference to item 9.4, Al Wills has spoken with Greg Durward, and a letter has been sent to BCAA  regarding Victoria Bowmen hosting the Canada Cup.

4.7 Bruce Somers addressed item 7.2.  Bruce has spoken to members of the executive of the Summer Games, (Bill McCluskey and Marlee Loiselle).  It has now been confirmed that Colquitz Junior Secondary will be the location for the venue.  Bruce has confirmed this with the School Board.

5. Correspondence:

5.1 Tracy Klat sent a letter to Greg Durward regarding Canada Cup.

5.2 Al Wills received Canada's copy of the "Target" Archer.  There was a nice article on the Victoria Championship (World's).

5.3 Al Wills advised he received a letter from FCA to the Club reiterating the deadlines for FITAS is January 1, 2000.  Tracy Klat is looking after sending the dates.

6. Financial Report:

Mary Wills provided an explanation of the financial statement.

7. Reports:

7.1 President:  No report.

7.2 Vice-President:  Bruce Somers contacted John Clark regarding the telephone poles.  BC Tel doesn't control the poles - BC Hydro does.  Bruce is waiting for a reply and will advise further at the next meeting.

Bruce contacted Marlee Loiselle regarding the BC Summer Games.

Bruce checked into the possibility of the Club renting Colquitz Junior Secondary to shoot indoors.  The School District has full time weekend janitors on site.  It would be expensive to rent the gym. If the Club wishes him to do so, Bruce will assist in looking for a new location through the School District.

7.3 Secretary:  Lorrie Sommerville is searching for any boxes of old documentation belonging to the Club, (i.e. old minutes, correspondence, newletters, rental agreements, etc.).  If anyone knows the whereabouts of any of the Club's paperwork, please  contact Lorrie. 

7.4 Past President:  No report

7.5 Membership:  Al Wills advised that the current membership is 126 going into the Year 2000.  The membership renewals have not been mailed out yet.

7.6 Tournament:  Tracy Klat was contacted about a Judging Class to be held January 15 and 16.  A location was needed for the class, and it may be held at Al's classroom in Naden.

Greg Durward is looking into the Victoria Bowmen being able to hold the Canada Cup.  We are looking at May 26th to 28th for this event, but this has not been finalized.

Tracy is hoping to hold the Queen Victoria shoot on May 21, 2000.  The BC Games Trials have been tentatively set for June 4th.

7.7 JOP:  Alice McCrea advised that currently there are 47 JOP Archers on the most updated membership list.  Alice talked to Mary Ostermeier and we have permission to shoot indoor levels outdoors.

We have also started classroom sessions in the Clubhouse on inclement days in order to keep interest alive in the program.  The first session we did had 12 people attend.  The second session had 15 - with 9 people from the first session attending.  We plan to cover a variety of topics from fletching arrows to range etiquette.  Anyone interested in teaching a topic is more than welcome to pass the idea on to any of the coaches and we will see if we can fit it in.

Alice advised that the JOP program needs to order approximately 100 feet of the latex banding.

Two awards were recently presented to JOP members:

Junior Archer -- Tristan Nixon, and Most Improved Archer -- Marcus Muiser.

7.8 Public Relations:  No report

7.9 3D/Bowhunting:  Bruce Reed advised that participation in the 3D  shoot on November 10th was poor.  Bruce was unable to attend the shoot and has no information as yet as to why the poor turn out. 

7.10 Trophy:  No report.

7.11 Equipment:  No report. 

7.12 DND:  Al Wills advised that we are still looking at January 1st for the Macaulay Gym.  Immigration still has equipment in the building, although the refugees are no longer being housed in the gym.  The decision is at the Ministerial level and DND's hands are tied.  Al is looking at other DND property options.

7.13 JOP Rep:  Tristan Nixon advised that the Hallowe'en Shoot on October 30th was a success considering the weather.  We had 9 kids come out for it.  We made some fun and interesting targets, which we normally couldn't do because they would be too messy for indoors.  We all had a lot of fun at it and hope that it will be held indoors next year.

7.14 Social:  On a personal note, Angela Kramer wished to thank the Victoria Bowmen / Board for the unfailing support, both financially and personally.  It is/was very much appreciated.

7.15 Newsletter:  Mark Yager apologized for the lack of newsletter after the last meeting.  He is endeavouring to get one out to the membership.  Mark advised that he may be able to do some more promotions due to his new employer....trade for advertising in our newsletter. 

7.16 Standing Committee:  A standing committee was formed for the BC Summer Games.  Bruce Somers and Vesa met with Jim Wiebe.  Vesa advised that he put in an equipment request (butts / stands / targets / netting, etc.).  Vesa hopes that we can negotiate a deal and get the netting.

Discussion occurred regarding Summer Games and the legacy surrounding same.  The Victoria Bowmen have everything ­ except a place to shoot.  The question arose as to the possibility of lobbying Summer Games to assist with funding a location similar to Burnaby.

We are looking for 12 volunteers to assist with the Summer Games.  Games to be held July 27 to 30, 2000.  Summer Games requires Level 2 coaches.

8.0 Old Business:

8.1 Lawnmower:  This item to be tabled until Spring.

9.0 New Business:

9.1 Bob Ragsdale Workshop:  Al Wills spoke with Bob Ragsdale re coming to put on a workshop.  Bob Ragsdale would have been available during the first week of December, however there is not enough time to coordinate.  He is available February 19 & 20th, 2000.  The workshops are presented "lecture" style.  Al advised there is a beautiful theatre at Naden.  The lecture could be done all day on Saturday; then break for a sitdown dinner/cocktails at the Mess.  Cost would work out to approximately $75 each if we have 50 people. If we open the workshop up to all British Columbia, we have lots of time to prepare.  Discussion occurred re the possibility of giving each Club a scholarship for 1 Junior to come for free (with a parent).  The workshop is not suitable for those juniors under 15 years of age.

Bob Ragsdale discusses items like:  bow tuning (compounds), "easy" shooting tips, arrow to bow matching; form analysis.  There are apparently 12 different topics.  Bob Ragsdale has spoken in Europe and Japan, and has been presenting workshops for over 35 years.  He is in high demand.

We have to RSVP by January 15th, 2000.

Moved by Bruce Somers, Seconded by Tracy Klat, "that the executive support Al Wills concept of the Bob Ragsdale workshop/clinic."        Carried.
