Minutes – Board of Directors Meeting October 24, 2017

1. Call to Order

Meeting was called to order by the President at the Douglas Fir Room of the Saanich Commonwealth Place at 7:10pm

2. In attendance

Jarrod Ball, Kendra Savich, Dave Ball, Bruce Somers, Lisa Lange, Rick Ellis, Larry Gagnon, Helena Myllyniemi

Regrets: Al Wills, Mary Wills, Billy Sanderson, Brendan Hodgson

3. Chairman’s Opening Remarks

The President welcomed the new board for the year 2017/2018 and is looking forward to a positive new year.

4. Correspondence

None.

5. Approval of the Minutes of the Last Meeting

The minutes of the meeting of August 22, 2017, as posted on the website and distributed to members, was approved. Motioned: Larry Gagnon, Seconded: Dave Ball

6. Reports

Kendra: nothing new; to update PayPal; shooting times previously posted throughout the website were conflicting and have since been found and fixed.

Dave: Lessons and Monday night drop-in are going well. Drop-in has been quiet, with attendance being 6 – 10 people per Monday.  Thursday afternoons 55+ class (2pm) is going great – Saanich Rec Centre’s Adam is extremely happy with the interest and there is a waiting list for future classes.

Jarrod: Sunday morning adult classes are going well with 10 – 12 people in attendance. Had an inquiry re: financial support through VIASport for low income families needing grants to participate in sport. Is investigating and will report back. JOP: 12 kids attended and attendance is increasing every week, Halloween fun shoot on Sunday, ZONE 6 trials for the BC Winter Games will be posted soon with possibly one Vic Bowmen JOP member trying out.

Bruce: nothing

Larry: 217 members at present, but that number is not entirely accurate as that number represents people who have paid for this year AND next year.  Al and Larry are to meet re: memberships cards, Club vs. Archery Canada, and will report more on this at the next meeting.

Rick: Tournaments: speaking for Billy who coordinated his first 900/720 tournament. 8 people were in attendance, the last outdoor tournament of the year. Rick will pass on this years’ tournament attendance list in relation to the annual draw for free memberships.  At the beginning of December they will start planning tournaments for 2018 – will still keep it at ten 900/720’s for the year (all depends on judge availability).  Orientation: next one is Sunday, October 29 from 2:45 – 3:45 in a room at the rec centre – an email will go out as well as post on Facebook to draw members of the public. To be put on calendar. Orientation sessions have been positive, well-attended, and have attracted new members. Next meetings are in November and January.

Lisa: nothing

Helena: financial reports were given, status of the club’s finances – positive. Extra classes are starting end of October/ beginning November. Found old club newsletters – proposed a past archery ‘game’ of archery poker.

7. Business Arising

Shelter move: discussed to move or not too move the existing shelter, or build a new one. Bruce to think, assess, and report back.

Rick: Target butts at the range – repacked the butt at 20m with plastic/shrink wrap – much better. Will keep monitoring its usage. Discussions about the newer (white) butts currently at the 50m mark – positive reviews from all. To revisit buying more at next meeting.

8. New Business

Dave: 5th Cedar Hill Cubs and Scouts seeking donation from the club for a silent auction. Discussions about what to do re: donation. Dave to talk to Adam of Saanich Rec Centre for possible donations of lessons and report back.

Lisa: Request from members for tournament results to be posted on website: many members of all ages, skill level and archery medium strongly wish to have tournament results – 900/720 – put on website as had been so done in the past.  Kendra and Jarrod to work on having direct links on the website to the Archery Canada website where scores are posted.

Jarrod: Discussed his new Pacific Archery Academy.

Jarrod: Highlighted two club members, Liz Newman and Rob Sanders, who recently attended the Invictus Games in Toronto, with Liz winning Gold in women’s senior recurve, and Rob winning Gold in senior recurve, team.

9. Disbursements for Approval

Helena: Dave and Jarrod for lessons. Motioned by Kendra Savich, Seconded by Bruce Somers

10. Time and Place of Next Meeting

Tuesday, November 21, 2017 at 7pm – room location at the Saanich Recreation Centre to be announced.

11. For the Good of the Association

Members gave positive statements on the club.
